Archive and restore offers
Archived offers remain available for administration and disappear from the active public selection. Archiving changes the storage location; it does not replace a cancellation or a refund. You can later restore an offer to an active category.
Check before archiving
Open the offer with an admin profile allowed to edit and move offers. Check the status, current bookings, invoices, dates and any sub-offers. An offer with Published or Guaranteed status cannot be archived. First choose an appropriate closing status; cancelling an offer moves existing bookings to the waiting list and does not automatically refund them.
For a multi-offer, the check applies to the entire family. Individual sub-offers may not be moved to the archive separately. Complete the family together; a still-published sub-offer can block the archiving.
Manually archive an offer
- Open the offer dashboard.
- Select More → Archive in the action bar.
- Read and confirm the dialog.
- Open the Archive section in the offer tree and find the offer. edoobox organizes it by year and previous category path.
- Check bookings and documents. Re-check the public selection using the previous link.
An archive is not a backup outside of edoobox. The separately activated automatic deletion can also affect old archived content.
Set up automatic archiving
- Open Settings → Offers.
- Select the desired Automatic archiving: off, archiving after one day, archiving with copy, or more frequent archiving after approximately half an hour.
- Select the reference Start date or Visible until. If the automatic feature is off, this selection is locked.
- Check the completion status of the affected offers. The automatic feature processes only completed statuses; drafts are also not automatically archived.
- Check the active structure and the archive after the scheduled run.
Processing occurs periodically. The labels are not a guarantee of archiving to the exact minute. For the reference Visible until, the calculated date from start, end, or registration deadline including the set interval is counted.
Archiving with copy: For a single offer, edoobox can create a new copy in the previous category and archive the original. Check dates, status, prices, texts, and conditions for the copy. This automatic copy mode is not executed for multi-offers and offers with sub-offers; use a suitable common archiving process.
Restore an archived offer
- Open the offer in the archive and go to Settings.
- Select Restore in the restoration area.
- Select a suitable active target category and confirm.
- Check whether the offer and its sub-offers are back in the active tree.
- Check status, registration start, registration deadline, visibility, dates, and possibly the internal code. Restoration alone does not make the offer bookable again.
For an old date, start planning the new run. If you want to keep the historical bookings, create a copy with new dates instead.
Clean up test offers: Selection, trash, or delete
Decide for each offer whether you will still need it later. Archiving retains historical administration, move to trash is a different storage state, and Delete requires confirmation for an irreversible process. Select the final delete command only for data that is definitely no longer needed.
- Search and filter the relevant offers in the offer overview. Check names, status, category, and associated sub-offers.
- Also check bookings, documents, and payments first for an offer labeled as a test. The label alone does not indicate a technically consequence-free test environment.
- Open the respective offer. Use More → Archive if you want to keep the history, or the offered action for the trash. Published or guaranteed offers and their family must first be given an appropriate status.
- If a final deletion is intended and More → Delete is offered, read the confirmation dialog completely. A sub-offer is not cleaned up separately from its multi-offer family.
- Then check the active tree as well as the archive or trash. An intentional financial reversal is processed via the booking process.
The checkboxes in the offer overview are used, among other things, to select items for export. Selecting multiple offers does not provide a general bulk deletion or joint archiving action. Process each reviewed offer using its own action bar. Archiving also does not protect an offer from automatic deletion that takes effect later.
If archiving or restoration fails
| Observation | Check and next step |
|---|---|
| Archiving is rejected | Check the status of all affected offers. First give published or guaranteed offers an appropriate closing status. |
| Sub-offer cannot be moved | Perform the process on the main offer for the entire family. |
| Automatic feature does not create a copy | Check whether it is a multi-offer or an offer with sub-offers. This combination is excluded from the automatic copy mode. |
| Still invisible after restoration | Check target category, archive/trash area, status, visibility time, and internal code. |
| Restoration does not seem to have been applied | Reload the view and check the result in the target tree. If the error occurs again, pass the reported notice with the offer and target category to support. |
Example: Retaining a completed annual course
An academy completes its annual course and checks payments and documents. It archives the course via More and then finds it under the course year in the archive. For the next run, it copies the offer, sets new dates, and checks the copied subscription and cancellation terms. Only this new, checked copy is published.
