Plan the visibility and registration period of an offer

Use an offer’s date and time fields to schedule an advance announcement, the start of booking and the end of its public display independently. Open the offer and select Settings. Edit the dates on which the offer takes place separately under Calendar.

The four time fields

FieldEffectNote
Visible fromStart of the public display of a published offer.Optional and dependent on the edoobox account subscription. Must be at least 24 hours before the registration deadline.
Registration start fromStart of possible registration.Optional and subscription-dependent. An offer can already be visible before this. The start must not be after the registration deadline.
Registration deadlineEnd of regular registrations.Required for publication; when publishing, it must be in the future.
Visible untilEnd of the public display, calculated from the start date, end date, or registration deadline.Select the reference date and the additional period: on the reference date, 7 days, 2 weeks, 1 month, or 6 months after.

The two optional start fields can each be removed via Deactivate. If the function is missing in the account subscription, edoobox shows an upgrade notice. This concerns the subscription of your organization, while participant subscriptions regulate the booking eligibility of persons via price categories.

Set up a pre-announcement with a later booking start

  1. Enter at least one session date and the capacity limit.
  2. First set the registration deadline, for example, November 30 at 6:00 PM.
  3. Set visible from to November 1 at 9:00 AM.
  4. Set registration start from to November 8 at 9:00 AM.
  5. Select the desired reference date and display period for visible until.
  6. Publish the offer and open preview-share in the actually embedded language and category.

In the example, customers can read the offer from November 1 and book from November 8. Describe the later start in the public announcement so that the pre-announcement remains understandable.

If a change is not saved

Between visible from and registration deadline, the interface checks for a distance of at least 24 hours. If the distance is too short, the previous value is retained, and an error message explains the limit. First correct the registration deadline or deactivate the no longer needed visibility start; then enter the appropriate combination again.

The timezone configured in the edoobox account applies to date and time fields. Check this under the format settings, especially if the team or customers work in multiple countries.

Additionally check status, capacity, and prices

A suitable period alone does not make a draft bookable. Check status, free spots, reservations, active price categories, their validity, and any subscription terms. Internal codes and the embedded design also influence what a person sees.

After the registration deadline, the classic waitlist may still be possible depending on the offer configuration. The end of the display, however, limits public visibility. The automatic archiving is another account-wide rule; it can refer to the display deadline or the start date.

The statuses Closed and Released can remain visible if the display period is still valid. Visibility alone therefore does not mean an open regular registration. Check the actually offered booking or waitlist path. The guide Archiving and Restoring explains the separate storage state.

Registration after course start and permanently offered services

Session dates and the registration deadline serve different purposes. If an ongoing course can still be booked, the registration deadline may fall after its first session. To keep the offer discoverable, Visible until must also extend beyond that first session. A later registration deadline alone does not extend public visibility.

  1. Enter the actual session dates in the offer calendar.
  2. Set the desired registration deadline in the future and check the existing registration start and visible-from value.
  3. Select for visible until, for example, the end date of the offer as the reference if a public display is desired until then.
  4. Check status, total spots, and available prices. Deliberately decide whether the normal registration should cover the entire course or the free date selection specific lessons.
  5. Open the public link again after the first session date and check the selection, price, date details and confirmation.
Example: Joining an ongoing course series

A course series runs from January to June. Joining should remain possible until the end of March. The administration sets the registration deadline to the end of March and keeps the offer visible until the course ends in June. The description explains which services are included when joining. A later registration deadline does not automatically create a prorated fee or book only future lessons.

For a normal offer, there is no blanket switch “always valid” that replaces dates, deadlines, and status. For ongoing offers, keep the actual calendar and registration deadline up to date. If it concerns the validity of a membership or a pass, set this up instead in the participant subscription. Its duration does not lift the registration deadline of a course offer.

Copied and reopened offers

Check all four fields after copying or reopening an offer. A new event date does not clear a deliberately configured advance announcement or an old deadline. When reopening, reopen the registration period, check capacity and set the status to Published. This does not reactivate participants whose bookings were already cancelled.
