Connect a Microsoft account for sending emails
Connect your Microsoft 365 work or school account to send edoobox emails through Microsoft. Setup is under Settings → Email → Server → Microsoft 365. Connect or Edit opens the Microsoft dialog there.
The dialog shows connection status and the signed-in Microsoft account. Then save the required Send as email address. When saving it, edoobox sends a technical test email. Successful Microsoft sign-in alone does not activate delivery during initial setup.
The setting applies to email delivery for the entire edoobox account. Teams meetings and Single Sign-On have separate setup workflows.
Prerequisites
Microsoft 365 work or school account with an Exchange mailbox.
edoobox permission to edit global email settings.
Your Microsoft administrator's approval for the displayed OAuth consent.
A sender address belonging to the signed-in account or configured with Send as permissions.
An internal test address and access to the outbox and Microsoft mailbox.
Set up Microsoft 365 in edoobox
- Open Settings → Email → Server. Under Microsoft 365, click Connect. For an already saved connection, the action is called Edit.
- Check the status in the dialog. With no existing connection, click Connect. For an expired or incorrect account, use Reconnect and read the confirmation.
- On the Microsoft page, choose the intended work or school account. Complete sign-in and permitted consent. Have your Microsoft administrator grant any required admin consent.
- After returning successfully, edoobox reopens the Microsoft dialog. Check Connected and the connected account's name and address.
- Under Send as email address, enter the required sender address. For a shared mailbox, the connected account must have sending permissions for it.
- Click Save. While Checking delivery … is displayed, wait for validation. Do not click repeatedly.
- Only once Microsoft accepts the technical test email and edoobox saves the setting is the address applied and Microsoft activated. On success, confirmation appears and the dialog closes. Then check the active provider in the server overview.
- Then send your own message to an internal test address. Check the outbox, actual receipt, visible sender, reply path and required attachments.
An address merely typed in is not yet saved. Cancel discards pending changes to that address. Microsoft sign-in already completed is not removed by doing so.
Distinguish the account connection from the active sending method
| Display | Meaning and next step |
|---|---|
| Connect in the server overview | Opens the Microsoft dialog. Without a saved connection, it also shows Connect; only that link leads to Microsoft sign-in. |
| Edit in the server overview | A Microsoft connection is saved. It may nevertheless be expired or disabled. Open the dialog and read its status. |
| Not connected | No usable Microsoft access currently exists. The sender address and Save are locked. Use Connect or Reconnect for an existing connection. |
| Connected | Microsoft access is usable. The dialog shows the name, email address and, where applicable, Microsoft account ID. Check this identity before saving a sender address. |
| Account information currently unavailable | The account display could not be loaded. This is separate from connection status. Reopen the dialog later and check the correct account before changing anything. |
| Green status for Microsoft 365 in the server overview | Microsoft is the active sending method. A connection may be saved while another provider is active. A red notice reports automatic deactivation. |
The Microsoft account ID identifies the connected account. Enter an email address, not an account ID, in Send as email address.
Understand Microsoft consent and sending permissions
edoobox uses delegated Microsoft sign-in through OAuth and sends through Microsoft Graph. The Microsoft password is entered on Microsoft's page. Mail Connect targets organisation accounts; use a work or school account with a usable Exchange Online mailbox.
The connection requests Mail.Send, Mail.Send.Shared, User.Read, offline_access, openid and profile. Your Microsoft administrator reviews the displayed consent. offline_access permits later renewal of access.
Application consent and sending permissions for a particular sender address are separate. For another or shared mailbox, the signed-in account needs appropriate Exchange permissions; see Shared mailbox and the Microsoft guide to sending from another mailbox.
Authenticate the correct Microsoft account
Microsoft may automatically use an existing browser session. Before starting, check which account is active at the top right of the Microsoft window. With multiple personal and business accounts, open edoobox in a private browser window and deliberately sign in with the intended organisation account.
Do not authenticate a personal employee account whose departure could unexpectedly interrupt delivery. Use an organisation-managed account and document the owner, MFA and recovery process.
Send through a shared mailbox
Sign in with an authorised work or school account and enter, for example, buchungen@example.org as the Send as email address. IT configures the shared mailbox and delegation in Microsoft. Read-only permission or Full access does not replace sending permission.
If only the shared mailbox should appear as sender, configure Send as. With Send on behalf, Microsoft may also display the acting person. edoobox supplies the required sender address; the actual sender presentation follows Microsoft permissions. Check it in a received message.
The application also needs consent to Mail.Send.Shared. For an older connection, check the renewed consent workflow. Microsoft explains the two permission levels.
edoobox requests storage in Sent Items. For a shared mailbox, Exchange configuration may determine whether the copy appears in the signed-in mailbox, shared mailbox or both. Check the storage location defined by IT.
What happens to the previous provider when activating
During initial setup, successful checking and saving of the sender address makes Microsoft the active sending method. edoobox then disables Mailjet and SMTP as active providers; Microsoft replaces standard sending. This selection applies account-wide.
If checking the new address fails, it overwrites neither the saved sender address nor the active provider selection. An error appears in the dialog. Resolve the cause and save again. By contrast, an already successful reconnection has replaced Microsoft sign-in; read Manage connection.
Before changing providers, check open or failed messages in the outbox. Decide which messages should be deliberately resent after correction.
Check sending and delivery
In the recipient mailbox: visible sender address, display name and spam folder.
By replying: does the reply reach the intended Microsoft mailbox?
In edoobox: outbox, sending status, subject and PDF/ICS attachments.
In Microsoft: sent message in the expected Sent folder and any non-delivery report.
With a second external domain: test delivery beyond your own Microsoft tenant.
Accepted is not delivered: Microsoft initially confirms Graph sending with “202 Accepted”. This means the request was accepted, not that Exchange Online has already delivered the message definitively. For problems, check the outbox, Microsoft messages and recipient server.
Resolve warnings or automatic deactivation
An error saving a new sender address differs from automatic deactivation during ongoing delivery. The settings check displays its error directly beside the address field. If the provider is disabled during operation, the server overview shows a red notice with the last error.
- Open Microsoft 365 → Edit and note the displayed error message, code and time.
- Check connection status. For expired or revoked sign-in, use Reconnect.
- Depending on the message, ask the Microsoft administrator to check mailbox status, licensing, consent and sending permissions. A temporary limit or service outage requires a different response from missing sending permissions.
- Check the sender address and select Save. Wait for the technical check.
- Check the active sending method and your own delivery test before reviewing affected failed messages.
Typical problems
| Observation or message | Procedure |
|---|---|
| Sender field or Save locked | First establish a usable Microsoft connection. An empty or invalid sender cannot be saved either. |
| Wrong account displayed | Choose Reconnect, confirm replacement and select the correct organisation account at Microsoft. |
| Sign-in expired or revoked | Reconnect, then save and check the sender address again. |
| Consent missing | Reconnect and review the requested permissions with the Microsoft administrator; shared mailboxes additionally require Mail.Send.Shared. |
Sending permissions missing, such as ErrorSendAsDenied | The displayed account must be allowed to send for the entered sender address. Have Exchange delegation checked. |
| No usable Exchange Online mailbox or mailbox not found | Check the exact address, licence, provisioning and mailbox status. The message alone does not prove a missing licence. |
| MFA, security policy, account or access rule | Involve the Microsoft administrator with the displayed error code and clarify the intended sign-in or approval. |
| Quota, sending limit or temporary throttling | Have mailbox and Exchange limits checked; for temporary restrictions, try saving again later. Repeated clicks do not remove the limit. |
| Mailbox moving, service unavailable or timeout | Check Microsoft status and the network and retry saving later. |
| App configuration or technical test email rejected | Give edoobox support the error text, code and time. Microsoft credentials or tokens are not required. |
| Check successful, but expected sender address or delivery still wrong | Actually receive your own message and check its sender. Microsoft may rewrite aliases; technical acceptance does not confirm sender presentation or delivery. |
Example: shared booking mailbox
The organisation connects an authorised work or school account and checks its display in the Microsoft dialog. IT grants that account Send as for buchungen@example.org and checks application consent. This address is entered and checked with Save. An internal tester then checks the actual sender, reply path and attachments of a custom edoobox message.
Check, reconnect or remove the connected account
Open Settings → Email → Server → Microsoft 365 → Edit. Check connection status, name, email address and any displayed Microsoft account ID. The account display and separately saved Send as email address may differ, for example for a shared mailbox.
Reconnect
- Select Reconnect and read the confirmation: successful sign-in replaces the existing Microsoft connection; unsaved changes are discarded.
- Confirm the redirect and deliberately sign in to Microsoft with the intended account.
- After returning, check the new account display and sender address. Save and check sending.
If Microsoft is already the active sending method, the new sign-in also replaces its previous account connection. Plan an account change with IT and check sending permissions for the sender address that remains entered.
Remove connection
- Select Remove connection and confirm the displayed consequences.
- edoobox removes the Microsoft connection and saved sender address. If Microsoft was active, edoobox then uses standard sending. This action does not automatically activate a previously configured Mailjet or SMTP provider.
- Check the server overview. Configure the intended sending method and check your own message.
The app permission granted at Microsoft remains after this action. To revoke that consent too, have the Microsoft administrator remove it separately in Microsoft. A later connection is configured again in edoobox through Connect.
Additional consent for shared mailboxes
For shared mailboxes, the current connection additionally requests Mail.Send.Shared. Older consent may not include this permission. If missing consent is reported or your own mailbox works but the shared one does not, reconnect the account and have the Microsoft administrator review the requested permissions.
Application permission does not replace the account's permission to send for the sender address. Check both levels. Microsoft explains them in the guide to sending from another mailbox. If checking fails, the dialog displays an error text and possibly a code. Note them for IT. Successful acceptance of the test email still does not confirm final delivery to the recipient mailbox.
Distinguish the technical test from your own delivery test
On Save, edoobox sends a technical test email from the entered sender address to noreply@edoobox.com. This test address is fixed; the message is not sent to your own test mailbox.
Microsoft must accept sending before edoobox saves the address and activates the provider. On success, the dialog closes. This check confirms neither final delivery nor whether Microsoft outputs an alias as another sender address. Microsoft describes the limit of sending acceptance with 202 Accepted.
Then send a message yourself to an internal tester. Check receipt, visible sender address, a reply and required PDF/ICS attachments. Compare the message with the outbox. For a shared mailbox, also check the intended Sent folder in Microsoft.
