Vouchers: remaining values and credit balances
For a value code, the voucher value may exceed the amount eligible for the booking. Specify in the promotion how edoobox should handle the unused amount. This lets you use a value code and retain its remaining value through the selected workflow.
When the remaining-value selection is available
This selection belongs to a promotion using Offset against booking total and a fixed amount. Percentage discounts and simple offer price reductions do not support this remaining-value workflow. The currency, offer scope and other conditions of the original promotion apply to the initial redemption. What is created afterwards differs by remaining-value option.
The original code follows its usage limit. A new remaining-value code or positive account balance is a separate result of redemption; it does not make the original code valid again.
Configure the remaining-value rule
- Open Promotions and create or edit the required campaign.
- In Offsetting, select Offset against booking total.
- Enter the fixed amount and check the currency.
- Under Remaining value of a promo code, select the required treatment.
- Check the period, offer scope, minimum booking value and all other redemption conditions.
- Test a booking below, exactly equal to and above the code value.
The previous Remaining value expires option remains applicable to campaigns with no other saved remaining-value rule. Communicate the setting actually selected.
Compare the three options
| Selection | CHF 100 for a booking of CHF 80 | Where to check? |
|---|---|---|
| Remaining value expires | CHF 80 is applied; CHF 20 is not retained. | Booking total and code usage. |
| Credit the full promo code value to the user account | CHF 100 is credited to the account of the person booking, and CHF 80 is applied to the current booking. CHF 20 remains as a positive balance. | Transactions, booking assignment and balance in CHF. |
| Create a new promo code for the remaining value | A new code is created for CHF 20; the original code has been used. | New voucher promotion, code and outbox. |
The options retain the remainder in different ways. Decide in advance whether customers should receive a personal balance or a transferable code.
Check the credit on the participant account
- Open the completed booking.
- Open the profile of the person who made the booking and its transactions.
- Check the credit for the full code value and its application to the booking.
- Check the remaining positive balance in the same currency.
- For a subsequent booking, check the intended use of this credit.
The credit then becomes a separate personal balance in the relevant currency. It does not inherit the original code's offer restrictions, customer tags or expiry date. The current booking is offset against it even if general automatic credit offsetting is disabled. For later bookings, follow Automatically offset positive participant balances.
For a group booking, check the booking's contact person; do not expect automatic distribution among everyone registered. Do not enter a second manual credit if the value has already been posted automatically.
Check the new remaining-value code and email
The new code receives the unused amount, original currency and remaining validity of the initial code. A new remaining-value code does not start a new blanket three-year period. It is created once and may generate another remaining-value code after a later smaller booking.
The remaining-value code belongs to a separate new promotion. It can be used once and has a minimum booking value of 0. Currency, offer scopes, permitted domains and individual/group booking type are copied from the original promotion. Positive and negative customer-tag conditions are not copied automatically. Check the new campaign before reusing a value originally protected by tags as a remaining-value code.
edoobox queues delivery to the person booking in the outbox using the voucher template. Check the code, amount, expiry, recipient address and language. The voucher template uses ##PromoCode##, ##PromoValue##, ##PromoExpiry## and ##PromoName##, among other placeholders.
If the message is missing, first check booking completion and the generated code, then the email address and outbox. Restarting a booking is not a substitute for checking delivery.
Examples of selection and checks
Personal credit for a regular customer: A CHF 100 code pays for a CHF 80 course. The organiser uses credit to the participant account. The customer then has a CHF 20 positive balance, which the administrator checks before later offsetting.
Give the remaining value as a gift again: A EUR 150 code is used for a EUR 120 booking. With the “New promo code” option, a EUR 30 code is sent to the person making the booking. The expiry date remains the same as for the original code.
Public campaign without a remaining value: A partner value code is explicitly intended as a one-time discount without retaining any excess. The organiser selects “Remaining value expires” and explains this before redemption.
For cancellation or reversal
Before a reversal, check the original document, used code and any credit or remaining-value code already created. A new code already sent must not remain usable unnoticed when a refund is made. Handle the invoice, transaction and code state traceably and document the decision.
To reverse the transaction, follow Cancel or change a booking and Check refunds and transaction fees.
