Participant subscriptions: Subscription Manager, memberships and passes
With participant subscriptions, you sell or grant recurring memberships and multi-use passes for your own offers. In edoobox, open Memberships & Passes. This guide also calls it the subscription manager. An association can manage its annual fee there, a school can offer a monthly member rate and a studio can sell a 10-use pass.
The edoobox account subscription defines the services available in your organiser account. A participant subscription is your organiser’s product for a specific person. Manage feature activation under Settings → Plugins.
Choose the appropriate type
| Your aim | Plan setting | Example and effect |
|---|---|---|
| Cover a season or association year | Fixed period | Membership from 1 January to 31 December. A later purchase does not extend the fixed end date. |
| Offer the same duration to each person | From activation (relative duration) | Six months from activation. For a paid purchase, this term begins with confirmed payment. |
| Sell a specific number of admissions | Number of uses | 10-use pass. Each eligible participation claims one use. Under this model, the pass has no fixed expiry date and does not renew automatically. |
A plan can grant a percentage benefit from 0 to 100 percent or a fixed discount in a specified currency. A plan with 0 percent is useful if its sole purpose is to unlock a price category. A membership need not include a monetary discount to satisfy an access prerequisite.
Plan, personal membership and period
The plan describes your product: name, price, validity, scope, benefit and renewal. The personal membership is created through purchase or administrative assignment. Each person receives their own status, period and, where applicable, remaining uses.
A period documents an individual purchase or renewal. Title, price, VAT, validity and plan conditions are recorded for that period. Plan changes do not retrospectively overwrite periods already purchased. A later renewal uses the plan details valid at that time.
From the idea to the first usable membership
- Open Settings → Plugins and activate Memberships & Passes. Check the displayed conditions and responsible admins’ permissions.
- Prepare catalogue, purchase page and customer area in Design Manager for subscriptions.
- Create a plan under Memberships & Passes → New membership. The complete fields are explained under Set up subscriptions.
- Choose between public publication and Internal use. Assign internal plans in the customer profile without offering them in the public catalogue.
- If needed, link an additional price category to the plan. The steps are provided under Subscription prerequisite for price categories.
- Check a complete example process covering purchase, payment, customer view and an eligible offer booking. For a pass, additionally check remaining uses and cancellation.
Guides by task
- Set up and publish plans: term, price, taxes, scope, internal use and publication validation.
- Manage a person’s memberships: assignment, overview, filters, corrections and history.
- Buy subscriptions and use them for bookings: shared cart, personal entitlement, price access and discount.
- Multi-use passes and redemption codes: uses, reservation, transferable codes and return upon cancellation.
- Renewal, payment and cancellation: subsequent period, reminder, invoice and immediate ending.
- Legal texts and confirmations for subscriptions: purchase design, language versions and records for individual purchases, shared carts and administrative assignments.
Monitor ongoing operations in the subscription manager
The plan overview shows products with type, validity, price, benefit, scope and status. Use search and filters to find published time-based memberships, internal plans or multi-use passes, for example. Open a plan to check its settings, dashboard and assignments.
A plan’s dashboard shows the number of personal memberships, active memberships, revenue, bookings using the plan and public visibility. It also includes purchases from the last twelve months, status distribution, latest purchases and recently used bookings. For a query, open the linked person or booking and compare personal status with the affected period.
A plan’s status and a personal membership’s status serve different purposes: Published makes a plan purchasable; Active means a specific person can currently use their entitlement. A published plan alone grants nobody a benefit.
