Create new categories and offers
The offer tree organises your programme like a file system: categories form the structure, and offers are the bookable units. A clear structure helps administrators manage the programme and participants find the right offer.
An offer needs a category before it can be created. Sufficient administrator rights are required to create and restructure entries.
Plan the category structure
Main categories suit broad topics, offer types or locations. Subcategories refine the structure. Use short, clear names and avoid identically named categories if they would make assignment, embedding or design unclear.
Categories can have their own texts and settings and affect design, embedding or promotion logic. Before building the structure, also check the category dashboard, category details and Design Manager.
Create a new category
Open the context menu of the account abbreviation or the category under which the new category should appear.
Select Add category. Alternatively, open Category in the plus menu.
Select the parent category and enter a name in the current offer language.
Confirm with Add.
Name validation accepts letters, numbers, spaces, hyphens, underscores, vertical bars and full stops. Other special characters are reported as invalid during creation.
Create a new offer
Open the target category’s context menu and select Add offer. Alternatively, start from the plus menu and then select the category. A category and a name in the current offer language are required; an offer number of up to 30 characters is optional.
If the account supports multi-offers, the This offer is a multi-offer option may appear during creation. Sub-offers are created within a multi-offer; their maximum number follows the account limit, which defaults to 50.
The next steps for dates, prices, texts and publication are described in A new offer in 7 steps.
Move categories and offers
In the active tree view, categories and offers can be moved by drag and drop. Offers must be within categories and cannot sit directly at the root level. A multi-offer’s sub-offer remains assigned to its multi-offer.
Moving offers is blocked when sorting by date or when a date filter is active; categories can still be moved. For a complete manual reorganisation, set sorting to Manual and the date filter to All.
Check before moving: a new category can affect website embedding, design assignment, internal responsibilities or reports. Check these connections after a major restructuring.
Copy an existing offer
Copying is faster than creating recurring offers from scratch. Open a normal offer’s context menu and select Copy. Multi-offer parents and items in the trash cannot be copied this way. When copying from the archive, select an active target category.
In the copy dialog, specify the target category, start date, new names, optional offer number and whether to include all dates. The copy starts as a Draft. Start and end dates and the registration deadline are shifted relative to the new start date.
The copy includes the description, up to three additional texts, price categories with validity dates, offer questions, request list links, tags, locations, rooms and leaders of the included dates. If not all dates are included, only the first date remains as a starting point. Existing bookings are not copied.
Check the copy before publication
The name, offer number, target category and status are correct.
Dates, registration deadline, locations, rooms and leaders match the new run.
Prices and their validity periods are current.
The description, additional texts, questions, request lists and tags remain correct in context.
The publication checklist, including a date, registration deadline and maximum participant count, is complete.
The preview and test booking show the expected process.
Use cases
Example: organise the programme by topic and level
A training provider creates the main categories ‘Languages’ and ‘Digital’. ‘Languages’ contains the subcategories ‘Beginners’ and ‘Advanced’. Offers are created exactly where the target audience and website navigation expect them.
Example: tidy the tree for the next season
An event manager archives completed offers and selects Manual sorting and the All date filter for reorganisation. She then moves categories and active offers. Finally, she checks the embedding and preview of the affected categories.
Example: copy a recurring course
A monthly course is copied from the previous month. The team sets the new start date, includes all dates and then checks the registration deadline, prices, location, leaders, texts and tags. As bookings are not copied, the new run begins with an empty participant list.
Choose whether to copy subscription conditions
If the participant subscriptions plugin is active, the copy dialog contains Copy membership conditions. It is selected when the dialog opens. Leave it active if the same subscription requirements should apply to the new run; disable it for a replacement offer that anyone can book.
After copying, check every price category: amount, validity, place limit and copied subscription conditions. Copying creates no bookings and does not replace a new subscription assignment to participants. Plugin and product setup is described in Set up participant subscriptions.
