Export Manager: manage and run custom exports

Use the Export Manager to save custom CSV exports with selected fields, column names, filters and a suitable result structure. This lets you reuse the same verified layout without setting up a table again each time.

An active Export Manager plugin and appropriate admin permissions are required. Open the section under Settings → Export Manager. If the entry is missing, check the Plugin Manager and your permissions.

Manage saved exports

The overview shows the export name, description, column count, result structure, context and active status. The available actions let you run an export, edit or copy its definition, or delete it.

The global overview's actions, including run, are offered with write permissions for the Export Manager. With read permissions, you can run an available export through Custom exports in the offer. Visible data also depends on your access permissions for the areas used. Analysis, previews and changes to the definition require write permissions.

Start a definition with New export or Create first export. The detailed guide Create a custom export: selection, filters and columns takes you through the setup.

Run an export and download the CSV

  1. Open an active saved export using run.
  2. Complete the requested selection, such as the required offer.
  3. Check the export name, column count and result structure.
  4. Select Create export.
  5. Wait for completion. Select Download export only when the export is ready.
  6. Open the CSV file with the appropriate character encoding and compare samples with edoobox.

The current run dialog creates CSV files. If the result is empty, edoobox displays a corresponding notice. If an error appears, check the selection, filters, permissions and data relationships before restarting.

Make a custom export available in an offer

If the definition uses an offer selection set only when running the export, it may also be available within an offer. Use Custom exports there; edoobox inserts the current offer. A fixed offer selection, by contrast, remains part of that specific definition.

Check availability using a second offer. This reveals whether an unintentionally fixed selection always returns the same data.

Example: a consistent participant list for each course

An administrator creates a definition with the offer selected at run time, booked participants' names and emails, and the booking number. They test the export on two courses and check that each run includes only people from the selected offer.

Use the same definition for multiple offers

If the offer is selected only when running the export, select one offer per run. Run the export for each required offer and retain the offer number and name in the CSV. The selection value in the preview area does not replace multiple selection.

After merging, check what each row represents: a group booking may produce several person rows, while a session with two instructors may produce several session/admin rows. For semester planning, count unique session IDs; for a person list, count the appropriate person or booking IDs. More methods for overall reports are described in Analyse multiple offers and their sessions.

If an export does not finish

Do not start the same run repeatedly while it is still processing. A maximum of two of your own runs can be active simultaneously. If a capacity notice appears, wait for them to finish. If a very large export fails, narrow the offer selection or a date filter further and split the report. After each partial run, check the areas covered so that no data is missing or counted twice. For repeated errors, report the export name, time, selection and error message to support.

Check the result's meaning and accuracy

The editor preview shows at most ten rows. It checks the structure and does not prove that all expected records are present in the final export. In the complete export, check the count, filter effects and any repeated people due to multiple bookings.

Limit fields and selections to the purpose. A download still contains the exported data after edoobox is closed; store the file according to your organisation's access and retention policies.

Which fields work together and why people may appear more than once is explained in Export fields, filters and result structure.
