Create a custom export: selection, filters and columns
Open Settings → Export Manager → New export. Enter a clear name and a short description so that other admins understand the definition's purpose. Leave Export active enabled only for the intended use.
1. Define the selection and when its value is set
Under Selection & filters, limit the records using the offer ID. Choose whether the offer is saved as a fixed value in the definition or selected when running the export.
| Mode | Effect | Example |
|---|---|---|
| Fixed | The selected value is permanently part of the definition. | Export exclusively for a specific annual congress. |
| At export | The value is requested for each run or taken from the current offer. A value in the editor is used for the preview. | The same participant list for different courses. |
Select a specific offer for the preview. The displayed context results from the selection and its mode. The offer selector allows one offer. For multiple courses, use the same definition to run one export per course in turn; include the offer number and name to identify them later.
2. Add filters
Only select filter fields and operators offered by the catalogue. For example, a participant tag can be filtered inclusively or exclusively. Check the spelling and effect using one person with the tag and one without it.
Inputs limit the initial scope; filters narrow its results further. A filter does not create bookings or change participant profiles.
Multiple filter rows are combined with AND. For alternative email domains such as example.org or example.net, use the multi-step domain comparison. For monthly planning, filter the session start; the booking date refers to a different point in time.
3. Assemble columns
- Open Add field and search for a field or data block.
- Add the required fields.
- Assign custom column names if required.
- Arrange the columns by dragging them or using the up and down arrows.
- Remove unnecessary columns using the corresponding action.
The available blocks show which data areas are accessible through the selection. Follow any notice about a missing input or incompatible relationship before adding more fields.
Include the appropriate IDs for later reconciliation: user ID and booking ID for participant bookings, session ID and admin ID for an instructor schedule. Renaming a column does not add company, attendance or fee rules that are not offered in the field catalogue. The report examples show which additional sources are needed.
4. Choose the result structure deliberately
Start with Detect automatically. The result structure determines what a row represents, such as an offer, a booking with participants or a session/admin assignment.
Booking/participant data and independent session/admin rows cannot be combined arbitrarily in one definition. If edoobox reports incompatible data areas, create two separate exports. Otherwise, combinations could result that do not belong together in practice.
5. Check the live preview and save
- Wait until the analysis and live preview have updated.
- Resolve all displayed errors and review the recommendations.
- Check the maximum of ten sample rows: order, column names, assignments and filters.
- Select Save export.
- Run the saved definition and also check the complete CSV file.
Saving is only possible when a name, at least one column and a confirmed valid analysis are present. If the action remains disabled, check the visible errors and your write permissions.
Example: narrow a contact list using a tag
A course organiser selects a specific course for the preview, leaves the offer interchangeable when running the export and adds a participant tag filter. They select first name, surname, email and booking number. After the preview, they check the complete CSV export using one tagged and one untagged test participant.
Common causes of unexpected results
- Always the same offer: Check whether a fixed selection was saved instead of a selection set when running the export.
- No results: Check the offer, existing bookings, filter value and permissions individually.
- A person appears multiple times: Check for multiple bookings and review the selected result structure.
- Column combination rejected: Follow the recommendation about the required selection or split independent data areas into separate exports.
- Incomplete preview: It is intentionally limited to ten sample rows.
Which fields work together and why people may appear more than once is explained in Export fields, filters and result structure.
