Automatically apply a participant’s positive balance

With Automatically apply positive participant balance, edoobox can use a participant’s available credit against a new booking. The option is under Settings → Payment systems, above the individual providers.

Requirements and limits

  • The option is enabled for your account.
  • The person booking is authenticated in the intended participant account and linked to their existing identity.
  • Unused positive credit is available in the same currency.
  • Credit already reserved for outstanding MustPay bookings is not available again.

edoobox does not convert a CHF balance into EUR. Visible availability can therefore differ by booking currency. Merely having the same name or entering an email address again does not replace association with the authenticated profile.

The general credit preview applies to regular bookings. For a waiting-list or enquiry booking, regular credit is not applied at this stage as it is for a confirmed booking. After a later transfer to a regular booking, check the balance valid at that time again.

Separate voucher process: a voucher with the remaining-value mode Credit to participant account can use its newly generated credit directly for the current booking, even if general automatic balance application is disabled. This targeted voucher application does not enable the general automatic feature for later bookings. Details: Voucher balances and credit.

Enable and check balance application

  1. Open Settings → Payment systems.
  2. Enable Automatically apply positive participant balance and wait for saving to finish.
  3. Check a demo participant’s existing credit and its currency.
  4. Start a regular new booking with that person using the intended login workflow.
  5. In the summary, check the credit used and the remaining amount payable.
  6. After completion, check the booking, transactions and remaining participant balance.

Full coverage and remaining amount

The amount used is at most the smaller of the available credit and the outstanding booking total. If the credit is insufficient, an amount remains payable through the normal payment route. Applying credit does not generate an additional card payment or a payout to the person.

Example: Partial coverage

A person has CHF 80 of unused credit and books an offer costing CHF 200. The summary uses up to CHF 80 as credit; CHF 120 remains payable through the offered payment route. CHF credit is not used for an EUR offer.

If no credit appears

  1. Check the global activation switch.
  2. Compare the signed-in person’s identity and profile with the existing credit.
  3. Compare the offer currency and the credit currency.
  4. Check outstanding bookings and amounts already reserved.
  5. After a booking change or cancellation, check the affected transactions before additionally entering a manual credit.

Applying credit is separate from automatic company-card payments to edoobox, provider refunds and the entitlement provided by a participant subscription.

Example: Use cancellation credit for the next booking

A person wants to use the amount remaining after a cancellation later. First check in the booking that the saved return method provides for a positive participant balance and that the same amount has not already been paid out.

  1. Cancel the verified scope according to the cancellation workflow and check the fee, documents and transactions.
  2. For a CHF 200 payment and a CHF 50 cancellation fee, an otherwise unchanged case must show CHF 150 allocated to the selected credit route. This does not create a bank or card refund.
  3. Enable automatic balance application if your account process should use it. Have the person start a new regular CHF booking using that exact existing profile.
  4. If the new booking costs CHF 220 and the CHF 150 is fully available, CHF 70 remains payable. Check the credit in the summary and the remaining balance after completion.

If an online refund has already been made, it does not create reusable credit. Check the refund status before entering an additional adjustment.
